Executive Assistant to Head and Assistant Head of School
Start date: September 2021
Miss Edgar’s and Miss Cramp’s (ECS) is a small school by design. The Executive Assistant provides a full range of administrative and strategic support to the Head and Assistant Head of School. The Executive Assistant holds the responsibility for oversight of their offices, functioning as an extension of the administration and ensuring responsiveness, efficiency and warmth so that everyone feels welcomed, respected, and well served. Ensures the Head and Assistant Head of School are represented in a professional, hospitable, and responsive manner.
Completes tasks independently, facilitates communication, and anticipates and addresses the needs of the Head and Assistant Head
Manages business communication (phone, email, and mail) applying necessary judgment to determine priorities and importance.
Maintains the Head and Assistant Head of School’s online calendars; prioritizes requests for attention by managing the scheduling of meetings and appointments, coordinates activities and agendas, and uses tact and diplomacy to resolve appointment conflicts due to unforeseen circumstances.
Ensures the Head and Assistant Head of School are provided with the necessary background information and briefing materials for meetings, events, and speaking engagements; researches, organizes, prepares, and presents information in a clear and concise manner.
Makes and manages all travel arrangements for the Head and Assistant Head of School, including airline and hotel reservations, conference and meeting registrations, transportation, etc.
Assists in preparation of professional development days, special events, luncheons, etc.
Prepares and distributes the agenda for all-school meetings.
Reviews, edits, and proofreads various documents.
Performs other duties as assigned by and in support of the Head and Assistant Head of School.
Qualifications and Skills:
Significant experience as an Executive or Administrative Assistant, preferably in an independent school
Ability to make independent decisions, work under pressure, multitask, and see assignments through to completion.
Bilingualism; strong written and verbal skills required in both English and French
Excellent communication, organizational and interpersonal skills
Strong knowledge of Google Workspace, ZOOM and other online platforms
Ability to maintain professional boundaries with regard to the handling of privileged information.
Ability to work an occasional evening, weekend, or early morning.
Commitment to working in and fostering an inclusive community.
